Role Overview
MAIA Estates, one of Bengaluru's most respected names in premium residential and commercial real estate, is looking for an experienced Document Controller to join its project team. In this role, you will be responsible for ensuring seamless, accurate, and timely management of all project documentation, enabling effective coordination between site teams, consultants, and clients. You will play a key part in maintaining compliance with project protocols and supporting overall project progress reporting.
Key Responsibilities
- Manage all incoming and outgoing project documents including Letters, RFIs, MARs, Method Statements, and Transmittals as per client-agreed protocols
- Receive Work Inspection Requests from contractors and distribute them to relevant team members in a timely manner
- Maintain trackers and ensure timely sharing of Good For Construction drawings in both soft and hard copy formats once received from consultants
- Collect and archive superseded GFC drawings from contractors and internal team members upon release of revised versions
- Maintain SOR, QOR, and NCR trackers and notify respective project managers of updates
- Keep accurate Minutes of Meeting records and share Daily Progress Reports with the client
- Support the Planning Manager in preparing Weekly Progress Reports and Monthly Progress Reports
Required Qualifications
- Minimum 10 years of document control experience in construction, interior, or engineering projects
- Strong working knowledge of RFIs, MARs, WIRs, NCRs, transmittals, and project documentation systems
- Proficiency in MS Office Suite and document management tools
- Excellent coordination, organisational, and communication skills
- Ability to manage multiple documentation streams simultaneously with high accuracy

Requirements
- Minimum 10 years of experience in document control within construction, interior, or engineering projects
- In-depth knowledge of RFIs, MARs, WIRs, NCRs, and transmittal processes
- Proficiency in MS Office and document management software
- Strong organisational and coordination skills
- Excellent verbal and written communication abilities
- Experience maintaining project trackers and documentation logs
- Ability to manage GFC drawing distribution and version control
