Job Description

A Facility Manager oversees the daily operations, maintenance, safety, and security of a building or facility to ensure a productive environment.

Key responsibilities

include managing vendor contracts (cleaning, security, maintenance), maintaining HVAC/electrical systems, budgeting for repairs, enforcing health and safety regulations, and handling space planning. Duties include running routine safety inspections, corresponding with contractors, planning maintenance work, maintaining records, and supervising facilities staff.   • Oversee day-to-day facility operations including housekeeping, security, waste management, and utility management.
  • Ensure all building facilities adhere to proper safety standards and cleaning procedures
  • Ensure immediate resolution of maintenance issues to avoid disruption to hospital services.
  • Maintain equipment and building provisions to meet health and safety

  • Organize and plan building instalments and refurbishments
  • Supervise facilities staff and communicate with external contractors and vendors
  • Keep building and all facilities up to code and accurately follow maintenance protocol

Key Responsibilities

This involves developing and implementing preventive maintenance programs, scheduling repairs, and coordinating with maintenance staff or external vendors. Facility Operations: Managing day-to-day operations of facility, including security, parking areas, cleaning, waste management (as per the guidelines), and utilities. This may involve overseeing service contracts, managing service providers, and monitoring performance to ensure compliance with service level agreements. Space Management: Optimizing the use of space within facilities, including allocation, lay out and arrangement. This involves assessing space requirements, coordinating office moves or relocations, and ensuring efficient utilization of space. Budgeting and Cost Control: Developing and managing the facility budget, including expense forecasting, cost control, and expenditure tracking. This involves identifying cost-saving opportunities, negotiating contracts, and optimizing facility-related expenses by working close with the inventory team. Vendor Management: Selecting, contracting, and managing vendors and service providers for facility-related services, such as maintenance, cleaning, security, or landscaping across branches. This includes monitoring vendor performance, resolving issues, and maintaining good working relationships. Asset management: Maintenance of AMC and CMC’s as per the stipulated guidelines along with the proper record keeping and report submission. Training to the staff: Giving training to the in-house and the outsourced staff on the machines/equipment. This includes the HK staff and the supervisor. Conducting building rounds at set intervals and publishing the reports on time. Housekeeping Inventory & Stock Management: Responsible for standardization of cleaning materials, arranging the stock, handling stock and ordering for each month. Staff Management & Coordination: Preparation of ROTA, monitoring day to day staff activities, dealing with performance issues, and planning for deep cleaning as per the hospital schedule. Health, Safety & Regulatory Compliance: Conduct regular safety inspections, ensure proper maintenance of fire safety systems, training staff on safety protocols, and maintaining emergency preparedness plans, and ensure biomedical waste disposal practices follow applicable guidelines.
